Method of Payment

Full payment of fees is required before registrations can be processed and confirmed. Payment can be made in the following manner.

Credit Card Payment
Visa/MasterCard/AMEX are accepted.

Please note if a registration is made less than 30 days prior to the event (27 October 2023) credit card is the only payment option available.

Electronic Funds Transfer (EFT)
You may register online and note payment will be made by Electronic Funds Transfer (EFT). A tax invoice will be generated and emailed to you immediately with your registration confirmation letter for payment within 14 days. All bank fees incurred with electronic funds transfer, whether international or national, are at the depositor’s expense. Please use your name as a reference. To ensure prompt reconciliation please forward a copy of the transfer record/remittance advice to the Conference Office.

Please note:  if payment is made by an international electronic funds transfer, please include an additional AU$25 to cover the local bank fee.

Cancellation Policy/Terms and Conditions

Please ensure you read the Cancellation and Refund Policies before registering. 

Accommodation
For accommodation cancellation policies, please refer to the individual hotel policies noted on the website. Any amendments to original hotel bookings must be forwarded via email to the Conference Office. Verbal changes or cancellations cannot be accepted nor will the hotels accept any changes directly. 

Registration Fees
Cancellation of a registration must be advised via email to the Conference Office. Verbal changes or cancellations cannot be accepted.

Voluntary Cancellation
Should you decide to cancel your registration; the following refunds will apply from the date of receipt of notification: 

On or before Tuesday 29 August 2023: 100% refund less an administration fee of $110 including GST  
On or before Friday 29 September 2023: 75% refund less an administration fee of $110 including GST   
On or before Friday 27 October 2023: 50% refund less an administration fee of $110 including GST  
After Friday 27 October 2023: No refund available

Refunds will be returned by the same payment method as the original receipt of funds. No refund will be made after Friday 27 October 2023, however an alternative delegate name may be provided by email and the booking and funds will be allocated accordingly. Please note no refund or discount will be made if a function or event inclusive within the registration fee is not taken up, or if you subsequently cancel your participation in that function or event. 

Optional social event tickets may be cancelled on or before Friday 27 October 2023 and will be refunded in full by the same payment method as the original receipt of funds. After Friday 27 October 2023 no refunds will be made, however an alternative delegate name may be provided by email and the booking and funds will be allocated accordingly.

If accommodation has been secured through the Conference website, please refer to the individual cancellation terms and conditions for each individual hotel. In the case of extenuating circumstances, a refund outside of these terms and conditions may be considered by and at the discretion of SMHR upon application. If the conference converts to a hybrid format in-person to virtual or virtual to in-person registrations, may be permitted and will be processed on a case-by-case basis following application to the Conference office.

Conference Cancellation or Postponement 
SMHR may cancel or postpone the Conference due to circumstances beyond its reasonable control, including but not limited to Acts of God, terrorism, war, strikes or industrial action, fire, explosion, inevitable accident, breakdown of property, changes in law, or pandemics or global health crises. Due to the nature of the event, it may be reasonable to postpone the event to a later year and/or to change the location for the Conference. In the event the Conference is not able to proceed as planned, and is moved to a virtual format, your registration will be transferred to a virtual registration. If you choose not to attend the virtual Conference, SMHR will not be required to refund any part of the Conference registration fee.

In the event of postponement of the Conference, if, when requested, you advise that you are willing to attend the rescheduled Conference, SHMR will transfer the registration and guarantee the same conditions and equivalent registration entitlements (subject to reasonable modification and availability) at the rescheduled event. If, at a later date, you then choose not to attend the rescheduled Conference, the SMHR will not be required to refund any part of the Conference registration fee. In the event of a full cancellation of the Conference by SMHR, you will be entitled to a full refund of the amount of the Conference registration fee received. The maximum liability of SMHR under these Terms and Conditions is limited to a refund of the Conference registration fee with no additional liability for travel costs, hotel costs, or any other associated costs.

COVID-19 Compliance  
All participants at the Conference will be required to comply with the COVID Safety Guidelines and protocols in place with the venues and the Conference which will be aligned and compliant with all relevant Government health advice at that time. By registering for this event, SMHR reserve the right to provide your contact details to authorities for the purposes of contact tracing and any other relevant Government requirements. Details of the protocols and requirements will be available on the website and all registrants will be bound by these requirements. 

Delegate cancellation – Medical

The health and safety of Conference attendees is our highest priority. SMHR are mindful of the health risks posed by COVID-19, and the importance of following official medical advice with respect to social distancing, practicing good hygiene and staying at home when unwell. SMHR request that any delegate who is feeling unwell or has cold or flu like symptoms, or who may have been in contact with someone with COVID-19, not attend the Conference.

If, on medical grounds, you are unable to attend the Conference, you must cancel your in-person attendance in writing by email to smhrconference@wsm.com.au.  A full refund may be provided at the discretion of SMHR, however you may be asked to provide additional details.

Insurance
Participants are strongly advised to secure appropriate travel and health insurance. Delegate registration fees do not provide any such insurance coverage. SMHR and the Conference Office accept no responsibility for any loss in this regard.
