PRE-CONFERENCE MEETINGS & WORKSHOP

The Alliance for the Prevention of Mental Disorders (APMD) Symposium and Scientific Meeting of the Mental Health Australian General Clinical Trials Network (MAGNET) will be held on Tuesday 24 November at the Conference venue. In addition, a pre-Conference workshop will be held offsite at Manawa. Please note for planning purposes, if you register for either of the pre-Conference meetings, your name, position and organisation will be provided to the official representatives of the organisations managing the meetings and workshop.

Planning Your Journey

In light of increased operating costs across the airline industry, delegates are encouraged to secure flights and accommodation at the earliest opportunity to access the most favourable availability and fares. The Conference program has been carefully structured to accommodate flexible arrival and departure schedules, and we look forward to welcoming you to a professionally rewarding and seamlessly connected event.

Accommodation Notice

As Christchurch will be hosting multiple events during this period, accommodation demand is expected to be high. Delegates are strongly advised to book accommodation as early as possible. A selection of accommodation options located within walking distance of the Conference venue is available and can be viewed via the Conference website. Early reservations are recommended to ensure availability and preferred room allocations.

PLEASE NOTE:

A valid credit card number must be provided to secure your booking. The card detailed will be shared with the hotel as a guarantee of your booking.
You are responsible for settling your room and incidental expenses direct with the hotel.
Please note the terms and conditions for cancellation (or reduction by one or more nights) or no-shows for each hotel when considering your options. If applicable, it is noted in the terms and conditions below if a hotel requires payment in advance; if so, this will charged to your nominated credit card.
Accommodation is held from Sunday 22 November 2026 to Sunday 29 November 2026. If you require dates outside of this period, please note your preferred dates in the 'Special Requirements' section. The Delegate Services Team will contact the hotel direct and advise you of availability

DEADLINES
The hotels impose strict release dates of 30 days prior to arrival, so any bookings made after Thursday 22 October 2026 will be subject to availability.

CHANGE OF BOOKING
To make a subsequent change or to cancel your booking, notification must be made via email to the Conference Office. Verbal changes or cancellations cannot be accepted nor will the hotels accept any changes direct.

Terms and Conditions

When registering online, you are asked to consider and agree to the following terms and conditions:

VOLUNTARY CANCELLATION

Should you decide to cancel your registration, the following refunds will apply from the date of receipt of notification:

On or before Tuesday 25 August 2026: 100% refund less an administration fee of $110
On or before Friday 25 September 2026: 75% refund less an administration fee of $110
On or before Friday 23 October 2026: 50% refund less an administration fee of $110
After Friday 23 October 2026: No refund available

Refunds will be returned by the same payment method as the original receipt of funds.

No refund will be made after Friday 23 October 2026, however an alternative delegate name may be provided by email and the booking and funds will be allocated accordingly.

Please note no refund or discount will be made if a function or event inclusive within the registration fee is not taken up, or if you subsequently cancel your participation in that function or event.

Optional social event tickets may be cancelled on or before Friday 23 October 2026 and will be refunded in full by the same payment method as the original receipt of funds. After Friday 23 October 2026 no refunds will be made, however an alternative delegate name may be provided by email and the booking and funds will be allocated accordingly.

If accommodation has been secured through the Conference website, please refer to the individual cancellation terms and conditions for each individual hotel.

In the case of extenuating circumstances, a refund outside of these terms and conditions may be considered by and at the discretion of the Organising Committee upon application.

If the Conference converts to a hybrid format in-person to virtual or virtual to in-person registrations, may be permitted and will be processed on a case-by-case basis following application to the Conference Office.

CONFERENCE CANCELLATION OR POSTPONEMENT
Society for Mental Health Research may cancel or postpone the Conference due to circumstances beyond its reasonable control, including but not limited to Acts of God, terrorism, war, strikes or industrial action, fire, explosion, inevitable accident, breakdown of property, changes in law, or pandemics or global health crises. Due to the nature of the event, it may be reasonable to postpone the event to a later year and/or to change the location for the Conference.

In the event the Conference is not able to proceed as planned, and is moved to a virtual format, your registration will be transferred to a virtual registration. If you choose not to attend the virtual Conference, the Society for Mental Health Research will not be required to refund any part of the Conference registration fee.

In the event of postponement of the Conference, if, when requested, you advise that you are willing to attend the rescheduled Conference, Society for Mental Health Research will transfer the registration and guarantee the same conditions and equivalent registration entitlements (subject to reasonable modification and availability) at the rescheduled event. If, at a later date, you then choose not to attend the rescheduled Conference, the Society for Mental Health Research will not be required to refund any part of the Conference registration fee.

In the event of a full cancellation of the Conference by the Society for Mental Health Research, you will be entitled to a full refund of the amount of the Conference registration fee received.

The maximum liability of the Society for Mental Health Research under these Terms and Conditions is limited to a refund of the Conference registration fee with no additional liability for travel costs, hotel costs, or any other associated costs.

DELEGATE CANCELLATION - MEDICAL
If, on medical grounds, you are unable to attend the Conference, you must cancel your attendance in writing by email to smhrconference@wsm.com.au. A virtual registration (if available) will may be offered, with any difference in price refunded. A full refund may be provided at the discretion of the Society for Mental Health Research, however you may be asked to provide additional details.

INSURANCE
Participants are strongly advised to secure appropriate travel and health insurance. Delegate registration fees do not provide any such insurance coverage. Society for Mental Health Research and the Conference Office accept no responsibility for any loss in this regard.

DISCLAIMER
By registering, you acknowledge and consent that during your attendance at the Conference your image or voice may be recorded via video, photography or by any other means by an officer or official of the Conference, which may be distributed or published at the discretion of the Conference. If you do not wish to be recorded, you are required to formally advise the Conference Office in advance by email.

REGISTRATION PAYMENT

Online registrations can be paid by credit card (Visa/Mastercard) or by electronic funds transfer. If a registration is made less than 30 days prior to the event (on or after Thursday 22 October 2026), credit card is the only payment option available. Participation is not confirmed until full payment is received.

If you would like to pay by electronic funds transfer (bank transfers) please select the 'Payment by Invoice' option below. A tax invoice will be generated and emailed to you immediately with your registration confirmation email. Bank account details for payment of the due amount will be included on the invoice.

All payments are to be made in New Zealand dollars. All bank fees incurred with electronic funds transfer, whether international or national, are at your expense.
