When registering online, you are asked to consider and agree to the following terms and conditions:
VOLUNTARY CANCELLATION
Should you decide to cancel your registration, the following refunds will apply from the date of receipt of notification:
• On or before Friday 8 May 2026: 100% refund less an administration fee of $110
• On or before Sunday 7 June 2026: 75% refund less an administration fee of $110
• On or before Monday 6 July 2026: 50% refund less an administration fee of $110
• After Tuesday 7 July 2026: No refund available
Refunds will be returned by the same payment method as the original receipt of funds.
No refund will be made after Monday 6 July 2026, however an alternative delegate name may be provided by email and the booking and funds will be allocated accordingly.
Please note no refund or discount will be made if a function or event inclusive within the registration fee is not taken up, or if you subsequently cancel your participation in that function or event.
Optional social event tickets may be cancelled on or before Tuesday 7 July 2026 and will be refunded in full by the same payment method as the original receipt of funds. After Tuesday 7 July 2026 no refunds will be made, however an alternative delegate name may be provided by email and the booking and funds will be allocated accordingly.
If accommodation has been secured through the Annual Scientific Meeting website, please refer to the individual cancellation terms and conditions for each individual hotel.
In the case of extenuating circumstances, a refund outside of these terms and conditions may be considered by and at the discretion of the relevant Organising Committee upon application.
If either Meeting converts to a hybrid format in-person to virtual or virtual to in-person registrations may be permitted and will be processed on a case-by-case basis following application to the Annual Scientific Meeting Office.
MEETING CANCELLATION OR POSTPONEMENT
ANZAOMS 2026 & NZAO ERDG may cancel or postpone the Meetings due to circumstances beyond its reasonable control, including but not limited to Acts of God, terrorism, war, strikes or industrial action, fire, explosion, inevitable accident, breakdown of property, changes in law, or pandemics or global health crises. Due to the nature of the event, it may be reasonable to postpone the event(s) to a later year and/or to change the location for the Meetings.
In the event either Annual Scientific Meeting is not able to proceed as planned, and is moved to a virtual format, your registration will be transferred to a virtual registration. If you choose not to attend the virtual Annual Scientific Meeting, ANZAOMS 2026 ASM or NZAO ERDG Meeting will not be required to refund any part of the Meeting registration fees.
In the event of postponement of either Meeting, if, when requested, you advise that you are willing to attend the rescheduled Meeting, ANZAOMS 2026 or NZAO ERDG will transfer the registration and guarantee the same conditions and equivalent registration entitlements (subject to reasonable modification and availability) at the rescheduled event. If, at a later date, you then choose not to attend the rescheduled Meeting, the ANZAOMS 2026 or NZAO ERDG will not be required to refund any part of the Meeting registration fee.
In the event of a full cancellation of either Annual Scientific Meeting by the ANZAOMS 2026 or the NZAO ERDG, you will be entitled to a full refund of the amount of the relevant Meeting registration fee received.
The maximum liability of the ANZAOMS 2026 and the NZAO ERDG under these Terms and Conditions is limited to a refund of the relevant Meeting registration fee paid with no additional liability for travel costs, hotel costs, or any other associated costs.
DELEGATE CANCELLATION - MEDICAL
If, on medical grounds, you are unable to attend either Meeting, you must cancel your attendance in writing by email to anzaomsasm@wsm.com.au. If applicable, for ANZAOMS a ASM Record Only registration may be offered with any difference in price refunded. No record option will be available for NZAO ERDG
A full refund may be provided at the discretion of the ANZAOMS 2026 or the NZAO ERDG, however you may be asked to provide additional details.
INSURANCE
Participants are strongly advised to secure appropriate travel and health insurance. Delegate registration fees do not provide any such insurance coverage. ANZAOMS 2026, NZAO ERDG and the Meeting Office accept no responsibility for any loss in this regard.
DISCLAIMER
By registering, you acknowledge and consent that during your attendance at either meeting your image or voice may be recorded via video, photography or by any other means by an officer or official of the Meeting, which may be distributed or published at the discretion of either Meeting. If you do not wish to be recorded, you are required to formally advise the Meeting Office in advance by email.
